AI Task Description Generator

Leverage the knowledge of large language models to speed up your work. You can now populate your task with a detailed task description without the need to switch between ChatGPT and workstreams.ai. Simply input your AI prompt in your Task Description. Ask for anything from a detailed Social Media Strategy to a Product Launch Action Plan. The possibilities are endless. Of course, AI should not be considered a replacement for expert advice or research, but it certainly helps speed up your process by providing a starting point and some great ideas. In the web application

  1. On a task, click the green AI icon on the right of the Description heading
  2. Select "From task details" to reference your task details
    OR
    Select "From your instructions" to input a prompt.
  3. If you choose "From your instructions", input an instruction on what kind of task description you'd like to create.
  4. If you choose "From task details", the AI Description Generator will create an output referencing the details available in the task.
  5. Click Apply if you are happy with the output. Click Redo if you would like it to generate an alternative.
  6. You can adjust the output by clicking on the AI icon once more and choosing one of the options under the Improve section.
  7. Create a shortcut to your favorite prompts by selecting Create shortcut. This will make a prompt immediately available to you whenever you need it again.


AI Subtask Generator

The AI Subtask Generator is an excellent time saver. It's also a convenient tool for breaking down long task descriptions into actionable steps. There are a couple of ways you can use it. If you have a task with a description, you can create a checkable to-do list with a single click. It's a fantastic way to make sure all the steps are followed according to the task description. Another way to use this feature is to input a prompt of the type of subtasks you need, instead of referencing what's in the task details. The great thing about using AI for this is that it often suggests steps that you may not yet have considered. View our latest AI Features here.

In the web application

  1. On a task, click the green AI icon on the right of the Subtasks heading
  2. Select "From task details" to reference your task details
    OR
    Select "From your instructions" to input a prompt.
  3. If you choose "From your instructions", input an instruction on what kind of subtask list you'd like to create.
  4. If you choose "From task details", the AI subtask generator will create a list of subtasks referencing your task details.
  5. Click Apply if you are happy with the output. Click Redo if you would like it to generate an alternative.

TIP— Once your list is generated and applied, you can further adjust the output by clicking on the AI icon once more and choosing one of the options under the Improve section.

Collaborate on AI outputs

Initiate collaborative discussions with the AI Prompt Collaboration feature. Your AI prompts history can be accessed and you can choose to share it with your team. Instead of working in silos, teams can now collaborate on AI prompts and tweak the outputs until they've found just the right fit. In the web application

  1. On a task where you have used an AI Generation feature, click on the green AI button.
  2. Under the History heading, click on Access history.
  3. View all prompts by paging through the various iterations.
  4. Choose the prompt visibility by choosing between Me only or Entire team.

Save an AI Prompt As A Shortcut

Streamline your task creation process by saving your frequently used AI prompts! Don't waste time typing the same instructions over and over again. Instead, save them once and streamline your workflow by simply clicking on them whenever needed. This will not only save time but also improve your productivity. View our latest AI Features here.

In the web application

  1. Begin by clicking on a task, any task will do.
  2. In the opened task interface, click on the green AI icon on the right of the Task Description heading.
  3. Within the dropdown menu, select Create Shortcut to initiate the shortcut creation process.
  4. Assign a recognizable name to your shortcut, making it easy to identify later.
  5. Enter your desired prompt in the Instructions field. This will serve as the basis for generating or improving task details.
  6. Choose between Generate or Improve in the operation type field. Opt for Generate to create new task details or Improve to edit existing ones.
  7. In the visibility field, decide whether the prompt should be visible only to yourself or to the entire team.
  8. Click the Save button to store your shortcut for future use.
  9. To access your saved prompt, click on the green AI icon on the right of the Task Description heading and select My Shortcuts. Simply click on the name of your shortcut to trigger the prompt instantly.

TIP— This works for subtasks too! You'll be able to follow the same process by clicking on the green AI icon on the right of the Subtask heading.
